Compliance Assistant – Carlisle
Burnetts are one of the biggest and most progressive law firms in the North of England. We are looking to recruit a Compliance Assistant, based at our Carlisle office on a full-time basis.
The Compliance Assistant will maintain high standards in a comprehensive and efficient service to clients of Burnetts consistent with the firm’s policies and procedures.
Main Duties
- Assisting the Compliance Manager with day to day tasks and long-term project work
- Opening new client entities/matters on Partner
- Performing 'Smartsearch' for clients as required
- Printing Matter Labels to be sent to the Welcome Hosts for distribution on a daily basis
- Attending 'Fastness' as and when required and completing audits of old files that need to be destroyed
- Dealing with requests from clients to release deeds and wills from our secure storage following internal procedures
- Locating and finding files that have been stored incorrectly in the past
- Auditing of past information to find the correct storage locations
- Creating future audits
- Liaising with IT on Partner projects
- Archiving project progression as directed by the Compliance Manager
- Daily conflict email cover as required
- Assisting with clear desk checks
- Strongroom maintenance
- Collecting deeds from office drop boxes
- Dealing with unclaimed mail
- Assisting with scanning of incoming post
- Maintenance of firm’s online account with mortgage providers
- Taking minutes at team meetings
Person Specification - Essential Criteria
Qualifications:
- GCSEs or equivalent qualification
Experience & Knowledge:
- Experience of handling data & organising vast amounts of information
- General administration experience
- Experience of adapting to different systems
- Sound knowledge of Microsoft Office including Outlook and Excel
Skills and Abilities:
- Problem solving skills
- Ability to organise & prioritise workload
- Work to deadlines & manage time effectively
- Good attention to detail & keeping accurate records
- Understanding the need for confidentiality at all times
- Excellent communication & interpersonal skills both written and oral
- Ability to work within a team as well as independently
